Privacy and Cookie Policy
Sole proprietor (FOP) / legal entity FOP Ilchuk Viktor Vasylovych (hereinafter the “Administrator,” “we,” “our”) provides online services through the website https://dashboard.ibms.com.ua (hereinafter the “Website”), the Dashboard software product under the SaaS model (hereinafter the “Service” or “Dashboard”), and the application programming interface Dashboard API (hereinafter the “API”), as well as related services (collectively, the “Services”). This Policy explains how we process personal data and how we use cookies.
“Personal data” means information about an identifiable natural person (name, email, address, payment details, support requests, etc.). Anonymous or aggregated data that does not make it possible to identify a person is not covered by this Policy.
Contents
1. What data we collect
Depending on how you interact with the Dashboard Website/Service, we may receive and process:
- Contact and account data: name, job title, email, phone number, login/password (stored in a protected form).
- Payment data: the fact/status of payment, transaction identifiers; we do not store full card details (they are processed by the payment provider).
- Technical and usage data: IP address, browser/device/OS type, timestamps, pages viewed, interface settings, session parameters.
- Integration data/metrics: metric values that you send to Dashboard for visualization in dashboards (the values are used for online display and are not stored in the Service).
- Company data (if needed): name, website, user role, etc. — only if you knowingly provide them.
We may also supplement this information with technical logs and information from trusted providers (payment/email/infrastructure) that is necessary for operation and security.
2. How we use data
- creating and maintaining an account;
- providing access to Dashboard, its features, and the API;
- processing payments and billing;
- user support (responding to inquiries, diagnosing incidents);
- analytics and improving the quality of the Service (based on aggregated/anonymized data);
- ensuring security and preventing fraud; complying with legal requirements and the Terms of Use.
3. Legal bases for processing
We process data on the basis of: (i) a contract (provision of the Services); (ii) consent (for example, to marketing communications or analytics cookies); (iii) legitimate interest (protection against abuse, development of functionality); (iv) compliance with a legal obligation (accounting, responses to requests from authorities).
4. Cookies and similar technologies
What a cookie is. Small text files stored in the browser to recognize a device, save settings, and keep a session running reliably.
Which cookies we use.
- Essential cookies — authentication, security, saving selected interface settings in Dashboard.
- Analytics cookies — help us understand how the Service is used and improve it (used only when there is a legal basis/consent).
Managing cookies. You can restrict or delete cookies in your browser settings. Disabling essential cookies may make it impossible to sign in and use private sections.
5. Web analytics
We may use web analytics tools (for example, Google Analytics) for aggregated analysis of Dashboard usage. Such tools may set their own cookies/identifiers.
6. Who we share data with
- Payment providers and email services — only the minimum necessary to process transactions and deliver service emails.
- Infrastructure providers — hosting/protection, acting under contracts and obligated to maintain confidentiality.
- Government authorities/courts — solely in cases expressly provided for by law.
We do not sell personal data.
7. Storage, retention periods, and security
We store personal data for as long as necessary for the purposes defined in this Policy, as well as for the periods established by law (e.g., for accounting). Once the data is no longer needed or the retention periods expire, we delete or anonymize it.
Security. Data is transmitted over HTTPS; we apply access control, logging, least-privilege access, redundancy of critical components, and incident response procedures.
8. Your rights
You have the right of access, rectification, erasure, restriction of processing, objection to processing, and data portability (where applicable). You may also withdraw your consent if it was the basis for processing (this does not affect the lawfulness of processing before withdrawal).

9. International transfers
If our providers/servers are located outside Ukraine, the transfer takes place with appropriate contractual and technical data protection safeguards. We can disclose the specific jurisdictions upon request.
10. Minors
Dashboard is not intended for persons under 18 years of age. If we become aware that a minor’s data has been provided without the consent of a legal representative, we will delete it.
